9.3 ORGANIZING A CONFERENCE OR AN EVENT

Imagine you’re organizing a weekend conference for about 50 delegates, from the evening of Friday 22 May to lunch time on Monday 25 May. Four foreign speakers have been invited and you’ll need to write to them in English.

First of all discuss what arrangements you’ll have to make for the conference. Make a list of the things you will have to do.
·         Write a letter to invite the people.
·         Look for a place to do the conferences
·         Check the costs
·         Reserve and pay the airplane tickets.

Then work trough the activity following the instructions below.

Draft a letter to the foreign speakers, to include these points:

·         Confirm dates and venue of the conference.
·         Ask for the title and 100- word summary of their talk.
·         Explain the accommodation arrangements.
·         Explain about expenses.
·         Ask them to book APEX tickets, not standard fare, as it’s over a weekend.
·         Make the hotel and the conference sound attractive.

LETTER:


Dear speaker:

We have the information about the conference you have been invited to participate.

The dates of the conference will be from the evening of Friday 22 May to lunch time on Monday 25 May, in the 3 stars Hotel du Lac. This is a very beautiful place; it has a nice view of the lake. It’s really cozy.
It has all the facilities for the conference we are organizing, so we ensure you that it will be a nice and motivating experience.

You will have sole occupancy of a double room with a view of the lake. Your accommodation and full board will be paid by us, don’t worry about that.
Also, we will refund your expenses by cheque in our currency.

The only thing we will need you to do is: book APEX tickets, not standard fare, as it’s over a weekend, and we need title and 100- word summary of your talk.

This is the information you need to know so far. We hope you don’t have any doubts, if you do, please let us know.

Local knowledge: You are an expert!

It’s a good idea to think about how your own country looks from a foreign visitor’s point of view. As a resident, your own view may be quite different.

How much do you know about your own city? Can you answer these questions?:

·         Where could a visitor go on a free day, or at the weekend? He or she can go on a tour to the Arch of Cabo San Lucas, or to some outdoor adventures, or just walk around the center of the city

·         When are the museums and art gallery open? I don’t know, I think from Monday to Saturday.

·         How can a visitor get tickets for a concert or a show? In some stores that sponsor the event or at the box office the same day.

·         Where can a visitor rent a car? There are in the hotel car rentals desks, or in the center of the city are the offices located.

·         Which restaurants serve typical local dishes? I’ve heard of La Mesa Poblana, but I know the menu of Villa Serena, and it’s very interesting.

·         Where can a visitor buy local specialities to take home? In the municipal market of San José, or in Wall- Mart, but there are along the C.S.L. Marina vendors offering souvenirs.

·         Where does the bus to the airport leave from and how long does it take? The only public bus that take you to the airport and brings you from there is Subur Cabos, and it runs along the highway. It passes trough San Jose del Cabo, the touristic corridor & the center of Cabo San Lucas.

What kind of hotel would you prefer to stay in if you were on a business trip? How is a business hotel different from a holiday hotel?

Design a new business hotel: the first of a new chain, catering for mid- budget business travelers.

1. - Decide on the basic concept of your “product”

* Atmosphere:  Is a medium establishment, traditional and cozy. Especially designed for travelers looking a place to rest, and that business travelers can prepare for their meetings.

* Location: This hotel is located near to the city centre, in a quiet side street.

* This hotel is for all people who want to relax, coexist and be in a quiet place. Is especially for couples who want to spend a moment away from the noise of the city, or weary travelers who would like to enjoy a moment of relaxation.

* Staff: There will be a personal service by staff so that the guest can enjoy even more of the stay at the hotel. It would be the best service to make the client feel like at home.

2. - Facilities in order of importance:
1.       Comfortable Rooms.
2.        Jacuzzi, Sauna & Spa
3.       Internet connections to every room
4.       Photocopying
5.       Restaurant serving local specialties
6.       24 Hours coffee- Shop
7.       Self Service Cafeteria  
8.       Swimming Pool

UNIT 9 VISITORS & TRAVELLERS

9.1 DID YOU HAVE A GOOD JOURNEY?

EXCERSICE E

Problems sometimes arise when people are away from home. Discuss these problems with your partners and decide what action you would take in each situation, who would you speak to & what exactly would you say to that person.

1.- You arrive in good time at the airport but discover that you have lost your ticket. The ticket clerk says your name is not on the computer.

*Could you check again please? My name may not be spelt right on the computer. If you still can’t find it, could I speak to your supervisor please?

2.- You find that your travel agent has entered the wrong check- in time on your itinerary and you have missed your flight. Your hosts are meeting you at the airport but by now they will be on their way there.

*I would talk to the travel agency and explain them what happened so they can warn my hosts that I will be late, and ask them to replace me in another flight.

3.- You are a non- smoker but the only seat available on the plane is in the smoking section. After take- off you find that your neighbor is a chain smoker and he doesn’t speak English.

* I would talk to the flight attendant and ask her to change my spot with someone that doesn’t smoke too much.

4.-You arrive at an airport in a foreign country expecting to be met but there is no one there to meet you. You have a meeting in a couple of hours in the center of the city.

*If I have the address of the office where the meeting is going to be, I would take a taxi and go there, or I would talk to someone of the same office to go meet me.

5.-Your train has missed the connection and now you’re going to be an hour late for your appointment. You have only five minutes to find a phone and make one call.

*It’s almost the same than 4. I would call to the office or to the person that I’m supposed to be met and I would tell them/his/her what happened or that I will be late.

6.- You’re seeing off a visitor. You arrive at the airport for his/her flight home and discover that the check- in desk for his/ her flight is closed. You go to airport information. They tell you that that airline is on strike.

*I would ask where they put the people of the flight that my visitor is in, and as soon as I know, I would go look for him / her.

o   A single one. Because her reservation was lost.
Why can’t the receptionist be more helpful?
o   Because there’s not rooms available anywhere.

o   They know very well
Why is she grateful to Mike (at first)?
o   Because he change Helen’s reservation for a better kind of room, a Suite one.
How does she feel towards Mike later and why?
o   Sad, disappointed, upset.

Whose experience did you find most interesting?
o   The blond lady one.
Which points did you find most useful?
o   Take your visitors or clients that come from another country out, or take them to a nice restaurant, or for a nice meal. Make them feel comfortable.
Which advice did you find less useful?
o   All of them are useful, but the less interesting was the man’s one.
Have you had any bad experience when traveling or when looking after visitors?
o   No, I haven’t.

VIDEO # 8 DEALING WITH PROBLEMS

There was a problem with a photocopier machine and the client want the supplier to replace all the defective machines.

They have to agree what they are going to so with the defective machines. A one's mistake is a company issue.

So, the man that was doing the arrangement with the client said that they were going to replace the photocopier machine, but he didn't know that there wasn't  any machine in stock, and now he has to call to the already upset customer and explain she the new problem, and all this because of the lack of comunication between colleagues.

VIDEO # 9 VISITS & TRAVEL

This video is about a lady that made a reservation for a single room, but the reservation was lost and now she hasn't place to stay. also, she has to be attending a conference, that is  the reason there are no rooms available anywhere.

Suddenly a friend of she arrives to the reception and gives her a good new, he changed her reservation to a suite...but in a wrong date!!

This is an example of a problem you can have when you travel, that you loose your reservation, or anyone trying to do you a favor and go worse!! :S

Swatch is a watch company that has one of the best marketing plans in the world.

They are always trying to innovate the watches and the advertisements design. They have a watch for every personality, mentality and lifestyle, also, there are watches for kids from 8 years old to people of 90 years old.

People is always expecting swatch's advertising surprise them as it always does but, swatch is a brand that sales itself.
